You can set the availability of your practice's configured locations and practitioners, from the Availability tab in Settings. A room's availability will appear in the General view of your practice's Appointments calendar.

Note: If you want to edit your practice's availability, you must be assigned a role that has Availability editing permissions. For more information on roles, see here.

Edit Location availability

When you configure a room's availability, appointments for that room can only be booked within the times you set. To set a room's availability:

  1. Go to Settings, then the Availability tab.

  2. Scroll down to the Locations section.

  3. Select a location or room.

    Depending on which view the Availability page has been set to, you may have to select a location or room from a drop down menu.

  4. Click on a day that you want to set the availability for, then Add block.

  5. Enter the times you want the room to be available for. You can click Add block again to add multiple time slots if needed.

  6. Click the tick icon in the corner of the day's box to confirm the availability.

  7. Fill in the other days as you want. When you have selected another day, you can click Copy from previous day to automatically copy the availability from the previous day.

The location or room will now have a fixed availability. It will no longer be possible for patients to make an online booking in the location or room outside of the times that you have set, however your Heydoc users can still make manual bookings if required.


Edit Practitioner availability

When you configure a practitioner or clinician's availability, appointments for that room can only be booked within the times you set. To set a practitioner's availability:

  1. Go to Settings, then the Availability tab.

  2. Scroll down to the Practitioners section.

  3. Select a practitioner.

    Depending on which view the Availability page has been set to, you may have to select a practitioner from a drop down menu.

  4. Click on a day that you want to set the availability for, then Add block.

  5. Enter the times and the location you want the practitioner to be available for. You can click Add block again to add multiple time slots if needed.

  6. Click the tick icon in the corner of the day's box to confirm the availability.

  7. Fill in the other days as you want. When you have selected another day, you can click Copy from previous day to automatically copy the availability from the previous day.

The practitioner will now have a fixed availability. It will no longer be possible for patients to make an online booking with the practitioner outside of the times that you have set, however your Heydoc users can still make manual bookings if required.
