How to put a refund on a patient's record

You can record a patient refund by applying a credit note on their record.

Note: To record a refund for a patient, you must have a role assigned to you that gives you editing permissions for Invoices and Patients. For more information on roles, see here.

Recording a Refund

You can record a refund any time from the Patients page.

Note: This process is for recording a refund only, and will therefore not process any payments back to the payee except if the refund process is carried via Semble Pay.

1. Select the patient who you want to record a refund for.

2. Go to the Invoices tab.

3. Select the credit note that you want to use to record the refund.

4. Click the Refund button.

5. Fill out the details of the refund:

  • Date: Select the date that the refund was made on

  • Payment type: Use the dropdown menu to select how the refund was made

  • Amount: Type the amount that was refunded

6. Click Save.

The credit note updates. If you go back to the patient's Invoices tab, the credit note will show as having no money remaining on it.

Refunds Vs Overpayments:

Refunds don't affect the outstanding value, they are meant to refund a value that was disputed by the patient but a value rightfully paid initially.


Overpayments are different, in this case what should be done is to create a credit note with the overpaid value and then refund the credit note (it’s a slightly different to a refund).


In the end, refunds on an invoice are not to be used to fix overpayments.
